Ambassador Program: Terms and Conditions

By participating in the Wavemakers ambassador on-campus recruitment program (“Program”), you agree to the terms below.

1. Eligibility

  • You must be a current student at your institution and at least the age of majority in your jurisdiction, or have written permission from your institution if under the age of majority.

  • You must be authorized to engage in extracurricular/paid activities on campus under your student status and any visa or school rules.

 2. Campus Rules & Permissions

  • Follow all campus policies for postering, tabling, classroom announcements, or solicitation.

  • Obtain any necessary school permissions/permits before any activity.

  • Use only designated posting areas and remove materials by campus deadlines.

  • Do not access restricted areas (e.g., residence halls) and do not disrupt classes or university operations.

3. Consent, Privacy & Data

  • Do not record or photograph students’ faces, names, voices, or other personal information without clear consent. Proof videos should focus on you, your materials, and the setup.

  • Do not collect personal data (emails, phone numbers, etc.) unless Wavemakers has pre-approved in writing the method and language and it complies with campus policies and applicable privacy/anti-spam laws (e.g., CASL, CAN-SPAM, GDPR where applicable).

  • If collection is approved, use only Wavemakers-provided forms/links. Do not store student data on personal devices.

  • Do not send unsolicited electronic messages (emails, texts, DMs) unless using Wavemakers-approved tools that capture consent.

  • If minors may be present (e.g., campus tours), do not record or engage one-to-one without appropriate permissions consistent with campus policy.

4. Conduct & Safety

  • Adhere to the Wavemakers Code of Conduct and all campus conduct policies

  • Be respectful, inclusive, professional; no harassment, discrimination, or pressure tactics. If someone isn’t interested, thank them and move on.

  • Keep walkways/exits clear and comply with venue fire/safety rules.

  • Prioritize personal safety: let someone know where you’ll be and when you’ll return; avoid isolated/unsafe environments; end any interaction that feels unsafe.

  • Prohibited: alcohol, drugs, weapons, and any illegal activity while participating in the Program.

  • When in doubt, ask.

5. Branding & Messaging

  • Use only approved Wavemakers materials (flyers, slides, logos).

  • Do not alter logos, create new claims, or make guarantees about outcomes.

  • Any original content you create for Program purposes (photos, short clips of your setup, captions) may be submitted to Wavemakers; by submitting, you grant Wavemakers a non-exclusive, royalty-free license to use, reproduce, and share that content for Program marketing, with credit when practical.

6.  Plan Approval & Documentation (Payment Eligibility)

  • Pre-approval required: Email your plan to Holly@wavemakers.network and wait for written approval before doing any activity.

  • After each approved activity, submit: activity type, date/time/location, brief summary, and proof (5–20s clip or 2–3 photos of you + setup/materials, avoiding identifiable students without consent).

  • Wavemakers may request additional verification if needed.

7. Payment Terms

  • Unless otherwise stated in your approval email, you can expect approximately $10 per completed, approved activity. Your approval email will confirm the per-activity rate and any cap/maximum.

  • Payment is processed after verification of required proof and may require a simple invoice or form.

  • Only pre-approved and documented activities are eligible. Activities outside your approved plan may not be paid.

  • You are participating as an independent contractor, not an employee, intern, or agent of Wavemakers or the institution. You are responsible for any taxes or reporting obligations associated with payments.

8. Expenses

  • Personal costs (printing, supplies, travel, etc.) are not reimbursed unless explicitly pre-approved in writing. Any approved expenses must follow Wavemakers’ instructions and be supported by receipts.

9. Changes, Cancellations & Termination

  • If campus restrictions, safety, weather, or other issues arise, notify Holly promptly to adjust your plan and preserve eligibility.

  • Wavemakers may modify, pause, or terminate the Program or your participation at any time for compliance, safety, or operational reasons (payment remains due only for properly completed and verified, pre-approved activities performed before notice).

10. Compliance & Reporting

  • Comply with all applicable laws and campus policies (marketing/solicitation, privacy, accessibility, health & safety).

  • Report any incident, complaint, injury, near-miss, or data/privacy concern to Holly@wavemakers.network as soon as practical.

11. Conflicts of Interest & Representations

  • Do not represent yourself as an employee or authorized spokesperson of Wavemakers or your institution.

  • Do not offer gifts, incentives, or benefits beyond Wavemakers-approved materials/raffles (if any).

  • Do not engage in political lobbying or partisan advocacy on behalf of Wavemakers.

12. Questions & Support
